How much does a virtual data room cost?
The honest answer is that it depends on how the provider counts. Here is how the three pricing models work, why they produce wildly different invoices, and exactly what Linkro charges in AUD.
How providers charge.
| Model | How it is counted | What it does to your behaviour |
|---|---|---|
| Per page | A rate for every page uploaded or shared, sometimes with a minimum. | Encourages disclosing less than you should, and makes the final cost unknowable until diligence ends. |
| Per user | A seat charge for each invited participant, often tiered. | Discourages inviting the adviser who should be reviewing, which is a false economy in a deal. |
| Per capacity and term | A flat monthly rate for a storage ceiling over a chosen term, with defined overage. | You know the number before you start, and the cost tracks the size of the deal rather than the effort. |
Linkro uses the capacity and term model, with unlimited users on every plan.

How to estimate your real cost.
Start with the size of the document set, not the number of documents. Financial statements, contracts and board packs are small. Scanned property files, engineering drawings and video are not, and they are what pushes a room from megabytes into gigabytes.
Then pick the term against the process, not the optimism. Most sale processes run three to nine months from room opening to signing, and a longer committed term is cheaper per month than repeatedly extending a monthly one.
Finally, budget for a peak rather than an average. Diligence tends to spike when the buyer's specialists arrive and request everything at once. The estimator on the pricing page shows what a temporary peak of capacity would cost so the spike is a decision rather than a surprise.
Questions, answered.
- How much does a virtual data room cost in Australia?
- It depends on the pricing model. Legacy providers commonly charge per page, per user or per project, which makes the final invoice hard to predict. Linkro charges on capacity and term in AUD: preparation is free while private, Small is free for a compact live deal, and Pro starts at $270 per month on a 12-month term, excluding GST.
- Why do data room quotes vary so much?
- Because the units differ. A per-page quote rewards under-disclosure, a per-user quote discourages you from inviting the adviser who should be reviewing, and a per-project quote hides the overage terms. Comparing headline numbers across those models tells you very little until you convert them to the same basis.
- Is there a free virtual data room option?
- Yes. Linkro preparation is free with 10 GB of capacity while the room stays private, so you can build and index the entire document set before paying anything. The Small plan is then free for a compact live deal at 100 MB with a six-month limit and AI-only support.
- What happens if I go over my capacity?
- You are charged the overage for that month and never more than the plan your data actually needs. Overage rates carry discounts that increase with capacity, and the calculator on the pricing page shows the exact figure before you commit.
- Does a longer term reduce the monthly price?
- Yes. Monthly is the most flexible and the most expensive per month; three, six and twelve month terms each reduce the monthly rate. Twelve months is the best value, and you can change plans freely until you invite your first external guest.
- Are users charged separately?
- No. Users are unlimited on Linkro. Invite every bidder, lender, lawyer and accountant the process needs without the cost changing.
- Do Linkro prices include GST?
- Prices are shown in AUD and exclude GST.
